Microsoft recently released the article "Exchange 2000 Server and Exchange Server 2003 performance may be affected when desktop search engine software is running on Outlook or other MAPI client computers" (http://support.microsoft.com/?kbid=905184), which describes how desktop search engines can create an excessive load on Exchange servers. To create and update local indexes, desktop search engines must access information, and if that information is in server-based folders, a lot of traffic is going to flow between client and server. The solution to this performance problem is to use Microsoft Office Outlook 2003 in Cached Exchange Mode, which lets desktop search engines access data in the local cache instead of going to the server. If you haven't yet upgraded to Outlook 2003, wait to use desktop search engines until after the upgrade or deploy the engines only to users who truly need them. Administrators can use the Exchange Server User Monitor (ExMon) utility to identify users who might be causing excessive server load and the client-software versions that they use.
